1. Service Definition & Logistics
1.1 Dedicated Vehicle & Routing
This is a dedicated, point-to-point courier service using a Tesla Model 3 electric vehicle operated by Oliver Rait trading as OX2GB (hereafter referred to as “OX2GB”). Your cargo is the only cargo in the vehicle during transit.
1.2 Included Costs
Initial quotes include all electricity, standard road tolls, and clean air zone charges such as the London ULEZ.
1.3 Real-Time Tracking & Delays
We provide a dedicated app link showing the real-time location and automated ETA of the vehicle throughout the journey. Arrival times are estimates based on live traffic, navigation data, and charging logistics. OX2GB is not liable for delays caused by motorway closures, severe weather, charging network outages, or other events beyond our reasonable control. The client must monitor the live tracking link for updated timing.
2. Cargo Restrictions & Packaging
2.1 Size & Weight Limits
2.1.1 Width: Cargo must not exceed 94 cm wide.
2.1.2 Height: Cargo must not exceed 45 cm high.
2.1.3 Depth/Length: Due to the structural contour of the Tesla Model 3 boot, the maximum item length/depth is approximately 107 cm along the boot floor, tapering to approximately 80 cm at the top clearance level.
2.1.4 Weight: Maximum single-item weight is 40 kg. Maximum total cargo weight is 120 kg.
2.2 Boot Fit Requirement
All items must fit comfortably in the boot with the rear saloon seats up and locked, keeping cargo completely obscured from view. The client must verify dimensions before booking. If an item does not fit, the job will be cancelled on-site and billed at the 100% cancellation rate.
2.3 Condition & Cleanliness
All items must be securely packaged, clean, and dry.
2.4 Prohibited Items
OX2GB strictly prohibits hazardous materials, explosives, unboxed mechanical parts containing oil or grease, open liquids, loose or unprotected items, living creatures, physical cash, bullion, bank notes, securities, stamps, specie, fine art, precious metals, precious stones, and jewellery. The client warrants that no consignment contains these items. Breaching this warranty means the cargo is transported entirely at the client’s own financial risk.
3. Booking, Payment & Schedule Policy
3.1 Payment & Booking Confirmation
All ad-hoc, residential, and one-off bookings must be paid in full at the time of booking. A dispatch slot is secured only once cleared funds are received. Trade credit terms are reserved for established commercial clients subject to a successful credit application and formal agreement.
3.2 Fixed Schedules & Route Calculations
Quotes and bookings are calculated for the specific collection date and time agreed. Long-distance transits are planned around traffic, highway maintenance, driver rest requirements, and EV charging availability.
3.3 Amendment & Schedule Change Policy
Requests to alter the collection date or time are subject to vehicle availability and operator agreement. OX2GB may recalculate the quote for increased transit times, peak congestion, night-time road closures, or scheduling disruption. If an amendment cannot be accommodated or the revised quote is rejected, the job defaults to a client cancellation under the policy below.
3.4 Cancellation Policy
Cancellations must be submitted in writing by email or text. More than 48 hours’ notice: full refund minus a £50 administration and merchant transaction fee. 24 to 48 hours: 50% of the booking fee is forfeited. Less than 24 hours’ notice, on-site cancellation, or the driver already being en route: 100% of the booking fee is forfeited.
4. Waiting Times, Access & Delivery Hand-Off
4.1 Doorstep Delays & Waiting Time
Bookings include up to 30 minutes of complimentary loading time at collection. Waiting beyond this due to client unreadiness is billed at £30 per hour or part thereof, payable immediately by payment link before departure.
4.2 Site Access
The client must provide legal parking or an official loading bay at both locations. Drivers will not park illegally.
4.3 Delivery Point
Deliveries are strictly to ground-floor reception or a loading bay, unless a multi-floor inside delivery is booked and confirmed in advance.
4.4 Delivery Payment Timing & Unloading
Any outstanding delivery-stage fees or corporate balances must be settled by bank transfer or secure payment link before unloading. The driver will not hand over or unload cargo until payment is confirmed.
4.5 Inspection & ePOD
The recipient must inspect the cargo at the vehicle boundary before hand-off and sign OX2GB’s mobile app-based electronic Proof of Delivery system. Once signed and handed over, the items are accepted as received in good condition, subject to Section 7. OX2GB will not accept liability for damage claims made after the driver leaves the delivery site.
5. Failed Returns, Storage & Carrier’s Lien
5.1 Destination No-Show
If the recipient is unavailable within 20 minutes of arrival, the delivery is aborted. The outward journey is billed at 100% of the booking fee plus waiting fees. The cargo remains in the vehicle and is returned to the original collection address. This return journey is a new billable action charged at an additional 100% of the original outward rate. Items will not be left unattended or stored overnight in the vehicle.
5.2 Commercial Storage
If the cargo cannot be returned because of the client’s absence or refusal, it will be placed in commercial storage at the client’s expense.
5.3 Carrier’s Lien
OX2GB retains a legal lien over the goods. Cargo will not be released until outward, return, and third-party storage costs are paid in full. After payment, the client is responsible for collecting the cargo unless a new delivery is booked and paid for.
5.4 Right of Sale
If fees remain unpaid after 14 business days from the failed return, OX2GB may sell the cargo. Proceeds pay the balance; any surplus is returned and any shortfall is billed to the client.
5.5 Perishables & Disposal
Perishables or cargo with zero resale value may be destroyed or disposed of immediately after a failed return, with disposal costs billed to the client.
6. Valuation, Liability & Underwriting Covenants
6.1 Contractual Liability Cap
OX2GB accepts contractual liability for direct physical loss or damage to goods during transit up to £50,000 per consignment. The client must arrange separate insurance for items exceeding this value.
6.2 Exclusion of Consequential & Economic Loss
Liability is limited to direct physical loss of or damage to tangible assets in transit, capped at £50,000. OX2GB is not liable for consequential, indirect, incidental, or economic losses, including loss of profit, business revenue, contracts, legal or judicial deadlines, or business interruption arising from delays or incidents.
6.3 Environmental Control & Thermal Risk
Active digital climate control is used during transit and mandatory breaks. Underwriters exclude claims arising from temperature variation. Temperature-sensitive cargo is carried at the client’s sole risk regarding thermal variation.
6.4 Insurer-Mandated Security Covenants
Cargo must be isolated, locked within the saloon boot, and kept out of sight, with rear seats locked upright. Between 20:00 and 06:00, theft liability for electronics, mobile phones, computer hardware/software, photographic equipment, and high-value garments is capped at £15,000 when the vehicle is unattended during comfort or charging breaks, unless the cargo value is declared 24 hours before collection. Third-party theft liability requires documented physical, forcible, and violent entry to the locked cargo compartment or personal assault. No liability is accepted for electronic signal manipulation or keyless access without physical vehicle damage.
7. Claims Process & Correspondence
If a delivery appears damaged or items are missing, act immediately at handover.
7.1 Action at Point of Handover
Check packages before signing the electronic application. Visible damage must be marked “damaged” in the ePOD app. If items cannot be inspected immediately, mark them as “unchecked”.
7.2 Reporting Window
Notify OX2GB in writing within 24 hours of delivery. Take clear, high-resolution photographs of the items and packaging from multiple angles before moving or unpacking them further.
7.3 Required Proof of Value & Loss
Provide original invoices, receipts, or manufacturer price lists; a detailed description including weights, serial numbers, or model numbers; and a formal repair estimate where goods are repairable.
7.4 Underwriting Deadlines
Send all supporting paperwork immediately. Insurers require a fully documented written claim within 30 days of the incident. A formal statutory declaration may also be required. Failure to provide documentation in time will invalidate the claim.
